Employee leave of absence management is one of the most important responsibilities in HR. Tracking eligibility, certifications, approvals, and compliance across FMLA, ADA, PWFA, and state paid leave is a significant administrative burden. For many HR teams, this process is still handled manually across spreadsheets, emails, and disconnected systems.

The result? Missed deadlines, inconsistent tracking, and compliance gaps that expose organizations to risk. Understanding the leave life cycle is a crucial first step for HR teams to learn how to stay compliant with federal and state regulations.

LeaveSource® by Qcera is built to automate and manage every stage of the leave of absence life cycle from the moment an employee submits a request to the day they return to work. Below, we walk through each stage of the life cycle and what it looks like with and without a dedicated leave management platform.

Qcera | LeaveSource® The Leave and Accommodation Life Cycle

Stage 1: Educate — Setting Employees Up for Success

Before a leave begins, employees need to be informed of their rights and what the process looks like. This is where the life cycle starts.

Manually, HR teams often field the same questions over and over – what am I eligible for, how do I request leave, what paperwork is required? Without a centralized resource, communication is inconsistent and employees are left confused at a stressful time.

In LeaveSource, employees have access to the MyLeave self-service portal, where they can view leave policies, understand their entitlements, and initiate the process on their own. MyLeave reduces the administrative burden on HR and improves the employee experience from day one.

Stage 2: Plan — Mapping Out the Leave

Once an employee knows they need to take leave, the planning stage begins. This involves identifying the type of leave, estimating the duration, and aligning with applicable laws.

Manually, this requires HR to cross-reference federal and state regulations, verify employee eligibility, and coordinate with managers all through disorganized emails and spreadsheets.

LeaveSource’s algorithmic counting engine and compliance matrix handle this automatically. The platform identifies the applicable leave laws based on the employee’s work location, leave type, and eligibility. Our platform accurately calculates entitlements for you, allowing employees and HR to plan with confidence.

Stage 3: Request — Submitting Leave

The request stage is where leave officially begins, and where manual processes tend to break down first.

Without a dedicated system, employees may submit requests via email, phone call, paper forms, or verbal conversations, leaving HR to manually log each request, follow up on missing information, and track submission dates across multiple cases simultaneously.

With LeaveSource, employees submit their leave request directly through the MyLeave portal. They can also upload the required medical certification form once completed by their healthcare provider. HR receives everything in one place, with automated notifications to keep the process moving.

Stage 4: Approve — Processing Certifications

Reviewing documentation and making approval decisions is one of the most time-intensive steps in leave administration. This step also comes with high compliance risk.

Manually, HR must review each medical certification for completeness, follow up with employees or providers when documentation is insufficient, and document approval decisions in a way that creates a defensible record. Without automation, this is slow, inconsistent, and prone to error.

In LeaveSource, HR can update each certification status to mark it as approved or flag it for incomplete certification. The platform tracks these decisions with a full audit trail, ensuring every action is recorded and accessible if needed for compliance review.

Stage 5: Benefit and Monitor — Tracking Time and Entitlements

Once certification is approved, HR must continuously monitor leave usage to ensure accuracy and compliance. This includes tracking intermittent dates, calculating remaining entitlements, and ensuring leave doesn’t exceed what the employee is entitled to under applicable law.

Manual tracking is notoriously difficult, especially for intermittent FMLA. Errors in leave counting can result in employees taking more time than they are entitled to, or HR inadvertently interfering with protected leave rights.

LeaveSource automatically counts time against the employee’s FMLA or other applicable leave entitlement as each absence is recorded. The platform handles the math and tracks balances in real time so that nothing falls through the cracks.

Stage 6: Return — Back to Work

The final stage of the leave life cycle is managing the employee’s return to work. This may involve coordinating with managers, processing return-to-work documentation, or managing job accommodation requests under ADA or PWFA.

Without a system, return coordination is often reactive. HR is notified at the last minute and scrambles to ensure the employee’s role, pay, and benefits are properly reinstated.

LeaveSource tracks return-to-work dates, auto-generates communications for the employee and managers, and maintains complete leave records so every case is closed properly. LeaveSource also supports documentation of any job accommodations the employee may need upon return.

From Request to Return — All in One Platform

Manually managing the leave of absence life cycle introduces risk at every stage. Missed certifications, miscounted entitlements, and inconsistent communications aren’t just operational headaches, they’re compliance vulnerabilities.

LeaveSource® by Qcera eliminates those gaps with automation for every stage of the life cycle. Designed for large enterprise HR teams managing complex leave policies, LeaveSource makes leave administration easier, faster, and more compliant.
